CUSTOMER INFORMATION & DATA PROTECTION
Privacy Policy
How Mothercare Infotech collects, uses, protects and manages customer and user information in India.Effective: 23 September 2026 Last updated: 14 October 2026
MOTHERCARE INFOTECH (“Mothercare Infotech”, “we”, “us” or “our”) provides accounting automation, document conversion, reconciliation and compliance software services through waytoaudit.com. This policy applies to visitors, trial users, registered customers and authorised users in India.
1. Customer and user information we collect
Depending on the service used, we may collect:
- identity and contact information such as customer or business name, username, mobile number, email address, city and state;
- business and registration information such as GSTIN, Tally serial number, subscription plan and account permissions;
- account information, including a securely hashed form of the password; we do not store the readable login password;
- documents and data that the user deliberately uploads or submits for extraction, conversion, reconciliation, reporting, training, testing or evaluation;
- transaction records such as order reference, selected plan, payable amount, payment status and limited payment-response information;
- technical and security information such as IP-derived security identifiers, browser/device information, session records, timestamps, diagnostic logs and feature-usage records; and
- support messages, feedback and information voluntarily supplied while requesting assistance.
2. How we use information
- to create, authenticate, administer and secure customer accounts;
- to provide requested accounting conversion, Tally integration, GST, tax, banking, reconciliation, reporting and related support services;
- to process orders, verify payment, issue service access and maintain statutory accounting records;
- to provide tool guidance and diagnose errors, prevent misuse, measure service performance and improve reliability;
- to conduct the document processing, machine-learning training, testing and evaluation described in the consent shown before upload or registration; and
- to comply with law, lawful requests, dispute resolution and enforcement of our terms.
We follow purpose limitation and data minimisation: information is used only for the stated service, consented processing, security, support and legal requirements.
3. Third-party disclosure
We do not sell customer documents or personal information. We disclose information only when reasonably required:
- to an authorised payment service provider, limited to the name, mobile number, email, order reference, amount and other data necessary to process or verify a customer-requested payment;
- to infrastructure, communication, security or professional service providers acting under appropriate obligations and only for the required function;
- to TallyPrime, GST, Income Tax or another third-party system when the user expressly requests an integration or portal workflow and supplies the information required for it; or
- where disclosure is required by applicable law, court order, regulatory authority, fraud prevention or protection of legal rights.
Accounting documents are not transferred to a payment service provider as part of checkout.
The public product guide and signed-in page checks run in the browser without sending questions or form data to an external AI provider. The former optional AI chat has been disabled; questions submitted before its removal may have been processed under the privacy notice then in effect. Do not enter client details, passwords or OTPs into a public guide.
4. Information protection and retention
We use reasonable technical and organisational safeguards, including access controls, secure transport, password hashing, restricted server credentials, logging and backups. No internet system can guarantee absolute security. Users must keep their username, password and device secure and promptly report suspected unauthorised access.
Information is retained only for the service period and as needed for support, security, legal, tax and accounting obligations. Tool-specific upload or result screens may state a shorter retention period; that shorter notice governs the relevant file. Information that is no longer required is deleted, de-identified or securely archived as permitted by law.
5. Rights of users
Subject to the Digital Personal Data Protection Act, 2023 and other applicable Indian law, a user may request access to a summary of personal data being processed, correction or completion of inaccurate data, erasure of data no longer required, withdrawal of consent, and grievance redressal. Withdrawal does not affect processing already lawfully completed and may prevent us from continuing a service that needs that information.
Send a request from the registered email address to admin@mothercarecrm.com. We may verify identity before acting on a request.
6. Cookies policy
We use essential cookies and similar browser storage for login sessions, security, CSRF protection, service continuity and user preferences. These are required for the workspace to function. We do not use the accounting documents uploaded by customers for third-party advertising. Blocking essential cookies may prevent login or other secured features from working.
7. Notification of changes
We may update this policy to reflect changes in law, technology or services. The revised date will be shown at the top. Material changes will be displayed prominently on the website or communicated through available account contact details before they take effect where required.
